Development/Advancement Staff of the Hylton Performing Arts Center (HPAC) implements all aspects of fundraising for HPAC for the annual fund, i.e., Friends membership, Anniversary Gala, Capital campaign for building the new Educational Wing and the HPAC endowment, and working closely with the Mason Alumni and Advancement team as well as the George Mason University Foundation.
About the Position:
The Development Assistant provides administrative support related to Friends membership, Anniversary Gala, Capital campaign for building the new Educational Wing and the HPAC endowment, and working closely with the Mason Alumni and Advancement team as well as the George Mason University Foundation. This will include campaign management, special events, mailings, database management, i.e., ADVANCE, ORBIS Reports, and the day to day operations of the Development Office.
Responsibilities:
- Provides administrative support for all aspects of the HPAC Development Advancement Team;
- Arranges and coordinates all internal and external activities, appointments, group meetings, conferences, workshops and scheduling on behalf of them as needed;
- Handles administrative tasks associated with the Development Office, including committees and meetings (i.e., prepare and distribute notices, agendas, minutes, follow-up actions, etc.);
- Assembles donor kits and presentation materials for events and meetings;
- Coordinates mailings, both mail and electronic, including building mailing lists, creating and proofreading content, coordination of printing, and managing assembly and distribution including volunteer management;
- Assists the Director of Development, the Associate Director of Development and the Development Manager & Corporate Relations Officer in maintaining appropriate relations with prospects, donors, external community, corporate leaders and financial institutions as well as internal university community;
- Supports the administrative functions by maintaining working files for Development/Advancement department as well as preparing copies for other offices, development research and select individuals;
- Functions as staff support during major fundraising events, performances, and other-related events;
- Other duties, as assigned by the Director of Development
Required Qualifications:
- Associates degree required or the equivalent level of training and experience;
- Excellent interpersonal skills, including oral and written communications, which encompass the capacity to draft and edit correspondence;
- Proficient in office procedures, including meeting preparation and event planning, word processing, database management, file maintenance and creation, and problem solving;
- Ability to effectively manage multiple deadlines simultaneously; ability to operate in a fast-moving and varied work situation;
- Ability to thrive in a team-dependent and collaborative work environment;
- Office experience, with executive support including meeting planning, document creation and preparation.
Preferred Qualifications:
- Experience in a higher education a plus;
- Bachelor’s degree.
