Artist Services Assistant, Center for the Arts
The George Mason University, Center for the Arts seeks qualified applicants for an Artist Services Assistant. About the Position:
The Artist Services Assistant works directly with visiting artists to the Center for the Arts, helping to manage their performances, residencies, and special projects. This position is housed within the Programming and Engagement team and is responsible for coordinating event-related details such as hotel, transportation, hospitality/catering, general programming logistics, and day-of schedules for the professional artists performing at the Center for the Arts. The ideal candidate will be organized and able to manage multiple projects at once, have experience in diversity, equity, and inclusive excellence initiatives, and promote a welcoming, friendly environment for all visiting artists and staff. This position is expected to work up to 30 hours a week during the performance season (September – May), and up to 10 hours a week during the summer.
Responsibilities:
- Manage artists onsite for Center for the Arts performances, greeting and welcoming them upon arrival, and providing assistance at every point of their visit to Mason. This sometimes includes long hours during residencies and show days;
- Advance show-related details, communicating with agents, artists, and various on- and off-campus departments/partners in advance of a performance;
- Book transportation and hotel for artists, picking up rental cars and providing transport to and from venue, hotel, and airports when contractually necessary;
- Track, record, and upkeep Artist Services budgets, keeping up-to-date with P-Card expenses through Excel and other university financial management systems;
- Manage catering and hospitality for the visiting artists;
- Alongside Programming team, produce special events and initiatives beyond the Great Performances Series that promote the arts and Mason’s College of Visual and Performing Arts widely, forming and maintaining relationships with community and university partners.
Required Qualifications:
- Weekend and evening work sometimes required;
- Must hold a US driver’s license that has been valid for at least 2 years;
- Must have a clean driving record, with no more than two at-fault accidents or moving violations within the last two years or no violations in the past two years for driving under the influence of alcohol or drugs, or reckless driving;
- Must be 20 years of age or older;
- Must be able to push, pull, lift, and carry up to 30 pounds for short distances;
- Must be local to George Mason University’s Fairfax campus and conduct work in-person;
- Must currently possess an appropriate, active, valid motor vehicle operator’s license that meets all of GMU’s requirements for operating state vehicles and equipment under Mason’s Vehicle Use Policy 1411 https://universitypolicy.gmu.edu/policies/vehicle-use/. The Office of Risk Management reserves the right to review the driver’s licenses and Motor Vehicle Reports (MVRs) of all candidates selected with employment contingent upon a favorable review.
Preferred Qualifications:
- Bachelor’s degree in related field;
- Organized, creative, flexible self-starter who can solve problems independently, work under pressure, and lead student staff members onsite during performances;
- Experience working with diverse populations, collaborating with teams to promote anti-racist and inclusive programming, and facilitating environments where all members of our community feel welcome;
- Experience working in the arts, academic institutions, or other non-profit environments;
- Excellent verbal and written communications skills, and ability to maintain a warm and professional demeanor within a fast-paced show environment;
- Aptitude with computer programs such as Excel, OneDrive, Teams, and interest in learning new technologies.
